Role Purpose

To act as the Executive Assistant to the Exco team, providing comprehensive support to the CEO and Executive Team while assisting with general office operations. The position demands the ability to anticipate needs, think critically, offer solutions, and maintain the highest levels of professionalism, discretion, and confidentiality.

Minimum Requirements

Qualifications:

  • Matric (Grade 12).
  • relevant qualification in Office Administration.
  • Expert proficiency with Microsoft Office (especially MS Teams, Word, PowerPoint).
  • Proficiency with project management tools/software.
  • Ability to design and edit professional graphic presentations.

Experience:

  • 5+ years of secretarial experience.
  • 3+ years of Executive PA experience supporting a senior leader within the financial or insurance industry.
  • 5+ years of exceptional project coordination and planning experience.
  • Proven experience dealing with Board members, senior executives, and diverse stakeholders with high professionalism.
  • Demonstrated experience managing deliverables with utmost integrity and confidentiality.

Duties & Responsibilities

Executive & Administrative Support:

  • Proactively manage the Exco team’s schedules, anticipating needs for meetings and commitments.
  • Serve as the primary point of contact for internal/external matters, exercising judgment to reflect executive style.
  • Coordinate all Exco meetings, travel, and events; prepare agendas, minutes, and complex presentations.
  • Compose correspondence, maintain contact lists, and handle confidential information.
  • Screen calls and correspondence independently.

Office & Stakeholder Management:

  • Support office operations, manage supplies, escalate facility issues, and ensure records are kept.
  • Build and maintain strong relationships with clients, Board members, and all stakeholders.
  • Contribute to a client-centric culture and deliver on service level agreements.
  • Control expense claims, prepare invoices, and identify cost-effective solutions.

Self-Management:

  • Continuously develop expertise, contribute to innovation, and take ownership of career development.
